HR Admin Executive

JOB DESCRIPTION

Key Purpose of the Job

The HR Admin Specialist is a key position responsible for supports HR and admin initiatives, be responsible for manage all immigration documents for expat (prepare and obtain Vietnam work permit, Business Visa, temporary residence card, and other services related to immigration and labor), working to ensure as well as maintaining the logistics and tracking for administration to ensure the smooth operation.

Key Areas of Responsibility

Work Permit, VISA, TRC for expat

  • In charge of giving guidance to expats about proper processes for preparation and submitting documents for WP/ TRC/ Visa
  • Follow up/ Manage closely the WP/ TRC/ Visa by tracking/ reminding relevant sides.
  • Be responsible for completion of WP/TRC/Visa

Admin

  • Organize employee engagement programs to provide the best service to employees with optimum cost (e.g, yearly event, teambuilding, women’s day, monthly events, birthday party, etc…)
  • Ensure HR & admin, BOD payments, invoices are done in time and accurately. Manage and control cash advance for HR Team well in budget.
  • Ensure maintaining the logistics and tracking for administration to ensure the smooth operation
  • Manage hygiene in the office/ working areas & office clearing service
  • Manage office procurement such as stationeries, pantry’s items
  • Manage name tag, name card for staffs are available in time
  • Create and manage English Code for staffs
  • Manage company’s transportation (Parking card, taxi card, grab,…)
  • Manage accommodation booking
  • Air-ticket booking
  • All HR Admin cost must be tracked month by month

Report

  • Complete and send monthly HR Admin expense report to Line manager.
  • Complete and send updated WP/ TRC/ Visa tracking report to Line manager regularly.
  • Monthly Taxi report
  • Other reports if any required

HR Support

Other tasks to support HR team assigned by HRSSM

JOB REQUIREMENT

  • Bachelor’s Degree in any field (preferably English-related)
  • Demonstrated fluency in English
  • Excellent office computer skills (MS Excel)
  • Excellent organization and time management skill - Pay attention to details and good level of numeracy.
  • Ability to handle multi-tasking under high pressure. Patience at work.
  • Ability to demonstrate a professional, confident and ‘can do’ attitude.
  • Good at team management in details.
